How to Recover Deleted Files from Your Backup

Recovering deleted files from a backup can be crucial if you’ve accidentally deleted important documents or media that you still need access to. The good news is, with the right backup solution and process, file recovery can often be straightforward. Here’s how I go about recovering deleted files from my backups:

Types of Backups That Allow File Recovery

Before I can recover deleted files, it’s important to understand what types of backups actually allow for file recovery.

  • Full backups – These back up everything on your drive and allow you to restore deleted files. They take longer and require more storage space.

  • Incremental backups – These only back up files changed since the last backup. They don’t allow file recovery on their own.

  • Differential backups – These back up files changed since the last full backup. They allow file recovery when combined with a full backup.

So for maximum recoverability, I use full and differential backups.

Steps to Recover Deleted Files from Backup

Here are the steps I take to recover deleted files from my full and differential backups:

1. Identify the Missing File(s)

First, I figure out which file(s) I need to recover. I check places like the recycle bin, file search, etc. I take note of the file name, original folder location, size, date modified, and any other identifying details.

2. Locate the Backup Containing the Deleted File(s)

Next, I figure out which backup contains the deleted file(s). Based on the date modified/deleted info, I check my backup logs to see which differential or full backup should have the file(s) I need.

3. Mount the Backup as a Virtual Drive

I then mount the backup as a virtual drive on my computer using backup software like Veeam. This makes the backup’s file structure accessible like a physical drive for browsing and copying files.

4. Browse to the File(s) and Copy Them to My Drive

With the backup mounted, I navigate to the original folder location of the deleted file(s). I then copy them over to a folder on my regular drive.

5. Unmount the Backup Drive When Finished

Finally, I disconnect the mounted virtual drive so the backup is no longer accessible as a regular drive. The deleted files are now safely recovered!

Tips for Smooth File Recovery

Here are some tips to make sure I can reliably recover deleted files from backups:

  • Test backups – Regularly test restoring files from backups to verify they work.

  • Document backup details – Keep logs on which files are in each backup.

  • Use file versioning – If supported, enable file versioning in backup software to access older versions of files.

  • Store backups externally – Keep at least one backup copy physically off-site to protect from local disasters.

With the right backup solution and recovery process, I’ve been able to successfully recover deleted files when needed. Just be sure to regularly test backups and document details for smooth file recovery.
